Volunteer Security Process

Step 1: Prospective volunteers must first register as a volunteer at the school office where you plan on volunteering. School administrators will verify your identity and register you in the CBE volunteer database. The school office will provide you with a letter enabling you to obtain a police information check from the Calgary Police Service (CPS).

Please note, prospective volunteers must reside in Canada for a full year before registering. Police clearances from countries other than Canada are not accepted.

Step 2: Visit the CPS online system, electronic Police Information Check (ePIC), to obtain your police check using your CBE volunteer letter.

If you are unable to complete the process online, you may visit a police information check location instead.

Step 3: Once you have received your clearance document from CPS you will need to share it with the school in-person or by email.

Cost

Your security clearance is valid for five years and the cost is $21.25 ($15.00 for police clearance and 5.95+GST service fee) which is charged during the online ePIC application. This fee is not covered by the CBE.

Annual Volunteer Registration

Each school year you must complete the CBE volunteer registration form. The annual volunteer registration form is included in the attachments. By completing the form, you agree to abide by the conditions that protect the safety, confidentiality and working environment of our schools. You also make a signed declaration with regard to criminal charges.

  • Picture retakes:
    • Fall picture retakes available for online booking in the Calgary studio. Please share with families who would like the opportunity to retake an image and were not able to do so at your school.


  • More Than A Ticket - Opportunity for students and families to attend events
    • Kids Up Front offers Calgary students and their families various opportunities to attend sports games, concerts and other events through the More Than A Ticket program. This program supports students and families, who may not have access to ticketed events, enjoy exciting concerts, performances and sports games throughout the year.
    •  List of KUF agency partners who do distribute tickets. Many of the KUF agencies also work closely with CBE to support students and families. Each agency partner has a designated “ticket contact", who is responsible for the distribution of tickets.


  • Parents please remember the Demographic Verification and Annual Authorization forms are submitted through the Calgary Board of Education’s online forms platform (School Engage).
    •  Once signed in, select the tile or link titled “Online Forms and School Registration”.
    • By submitting the Demographic Verification, the contact and emergency information needed will be up to date.  There are also the Annual Authorization forms available in SchoolEngage.  Providing consent via the authorization forms allows Thorncliffe staff to know whether or not you consent to things such as coverage for when media (eg. TV, radio, print publivations)visit our school).
  • Please be advised that outside morning supervision begins at 8:59 am, and there is no after school supervision outside once students have exited the building.
